  • Responsibilities

    • Organize and maintain case/legal files for the agency;
    • Create and maintain docket for all unfair, impasse, and representation cases;
    • Maintain follow-up/reminder systems to ensure timely completion of projects; maintain calendars for agency and staff in Outlook; schedule related appointments;
    • Maintain and keep up-to-date files of ad hoc personnel, including communicating with ad hoc personnel regarding necessary paperwork, compensation and reimbursement policies, case files, etc.;
    • Communicate with the public, parties, ad hocs, and staff regarding cases;
    • Review all written materials for format, punctuation, spelling, and other grammatical errors;
    • Assist with any conferences;
    • Prepare records and pertinent documents related to case appeals;
    • Prepare official records, case documents, and case proceedings for the agency;
    • Track and log all final orders of the Board;
    • Correspond with online research services to provide copies of final orders of the Board;
    • Provide guidance and support to ad hoc personnel, contractors, temporary staff, and interns;
    • Provide confidential support and assistance to the legal department staff;
    • Provide excellent customer service;
    • Provide general administrative assistance, including, but not limited to:
    • welcoming and announcing visitors
    • answering and directing phone calls
    • opening, sorting, and distributing incoming mail; preparing outgoing mail
    • assisting staff with general administrative documents
    • scheduling rooms, preparing/posting meeting notices and agendas, preparing and binding necessary documents for review for Board meetings;
    • Periodically lift/carry/move objects/boxes weighing up to 20 pounds
    • Stoop and/or bend to perform light filing tasks
    • Perform other duties as assigned



    • At least three years’ experience as a case manager, case administrator, or paralegal preferred.

    • Administrative Skills: Performs a variety of responsible and confidential office, clerical and professional administrative duties, including, but not limited to, drafting simple notices and orders, and effectively proof reading legal and other documents.
    • Analytical Skills: Visualizes, articulates and solves a variety of problems and concepts and makes appropriate decisions based on available information.
    • Attention to Detail: Ensures agency work and information are complete and accurate.
    • Communication Skills: Listens, writes, and speaks effectively, and positively relates and interacts with co-workers and others.
    • Use of Technology: Uses technology where appropriate or required to improve efficiency and transparency of the agency, including, but not limited to, ability to proficiently use word processing and spreadsheet programs.
    • Dependability: Consistently adheres to operational standards, ensures smooth operations and positive customer experiences, builds a productive workplace, and is reliable.
    • Independence: Works with little or no supervision.
    • Planning and Organizing: Systematically develops, plans, prioritizes, organizes and manages resources in order to accomplish business goals within a specific time period.

    • Time Management: Manage time effectively while accomplishing tasks and projects.
