  • Overview

    This position serves as the Special Project Coordinator for the Indiana Youth initiatives for Prevention.  The position’s primary responsibilities are to provide administrative support and to coordinate activities within the youth prevention team.  This position is critical to ensuring Substance Abuse Prevention efforts are adequately supported.

    Responsibilities

    • Participate in the daily workflow for youth prevention initiatives: requests for proposals (RFP), and ongoing development of new and existing Prevention efforts.
    • Assist with developing programming focused on critical populations that have not been addressed in Indiana in the past such as; Hispanics, LGBTQ, family of offenders and military families; and writing parts of the RFP’s that will be developed to initiate these programs.
    • Assist with project management and evaluation reporting (e.g., tracking submission).
    • Manage program records including; contact lists, manuals, guidance documents, e-mail archives, etc.
    • Data entry of grant information; in Excel, PEP-C (Program Evaluation for Prevention-Contract), etc.
    • Coordinate meetings, events, staff travel, and other logistics.
    • Attend Team Meetings and take minutes.
    • Develop and produce resource materials (including manual, worksheets, presentations, Webinars, and reports).
    • Responsible for monitoring contracts and tracking claim submissions.
    • Responsible to maintain Site Visits schedules.
    • Provide evidence-based programming assistance as defined by DMHA.
    • Become trained in selected evidence-based prevention programs used in programs funded by DMHA and other prevention related trainings.
    • Maintain essential internal communication/documentation within designated timeframes.
    • Actively participate in team development activities.
    • Coordinate communications to ensure responsive services to prevention stakeholders.
    • Assist with establishing and improving the infrastructure of prevention process; issuance of guidance documents, work flow processes, etc.
    • Work with IOT to update web pages as needed.

    Qualifications

    • Bachelor’s Degree required.

    • Previous work experience in program development, coordination and implementation.
    • In-depth knowledge of Microsoft Office Suite including; Outlook, Access, Word, Excel and Publisher.
    • Excellent verbal and written communication skills.
    • Friendly demeanor.
    • Ability to multi-task.
    • Prior knowledge of Public Health and Substance Use Prevention are a plus.
