  • Overview

    This position is responsible for Prepping all correspondence, and Index Books for Birth and Death. Prepares records and index books for microfilming, Once filming is complete staff member will verify microfilm for accuracy and shred documents (NOT INDEX BOOKS)  after verification has been completed. At least 3 reels of microfilm must be verified daily. Index books after being microfilmed, will be boxed and housed in the vault for storage. Staff will enter all incoming check fees on a daily basis. Staff will complete the data entry for Marriages. Totals for each task and how many completed a day must to be sent via email to the immediate supervisor, by the end of each day.


    • Incumbent received Check Fees and will be entered into the system each day.
    • Incumbent must make clerical decisions regarding appropriate procedures within Vital Records.
    • Verify micro-film, image-by-image.
    • Incumbent inputs data entry of information related to Vital Records.
    • Incumbent logs and processes information related to Vital Records.
    • Incumbent prepares records for microfilming.
    • Performs other duties as assigned.


    • Considerable knowledge of clerical procedures involved in gathering accurate information.
    • Basic knowledge of English grammar, punctuation and spelling.
    • General knowledge of Vital Records mission and objectives.
    • General knowledge of records management and storage procedures.
    • General knowledge of regulations and procedures relating to confidentiality and HIPAA laws.
    • Working knowledge of alphabetical filing rules.
    • Ability to multi-task, problem solve, and make thoughtful but expedient decisions.
    • Ability to operate equipment necessary to departmental functioning.
    • Ability to operate a personal computer, microfilm reader, microfilm reader-printer and copier.
    • Ability to maintain strict confidentiality and willingness to sign a confidentiality agreement,
    • Ability to transcribe certifiable information from original records of Marriage with absolute 95% accuracy.
    • Ability to be tactful in dealing with the public over the telephone.
    • Ability to make clerical decisions regarding appropriate procedures within specific program areas.
    • Ability to read departmental documents.
