  • Overview

    The incumbent is responsible for working with all Confidential Intermediaries (CI) appointed by local courts and along with other State and Local agencies.  


    • The incumbent will be responsible for understanding appropriate policies and procedures as they relates to Vital Records.
    • The incumbent must research/data enter 25-50 records on a daily basis.
    • The incumbent will be responsible for receiving incoming calls, maintain telephone/ production logs of daily communications with constituents.
    • Performs other duties as assigned.


    • Considerable knowledge of clerical procedures involved in gathering accurate information.
    • Basic knowledge of English grammar, punctuation and spelling.
    • General knowledge of Vital Records mission and objectives.
    • General knowledge of records management and storage procedures.
    • General knowledge of regulations and procedures relating to confidentiality and HIPAA laws.
    • Working knowledge of alphabetical filing rules.
    • Ability to multi-task, problem solve, and make thoughtful but expedient decisions.
    • Ability to operate equipment necessary to departmental functioning.
    • Ability to operate a personal computer, microfilm reader, microfilm reader-printer and copier.
    • Ability to maintain strict confidentiality and willingness to sign a confidentiality agreement,
    • Ability to transcribe certifiable information from original records of Marriage with absolute 95% accuracy.
    • Ability to be tactful in dealing with the public over the telephone.
    • Ability to make clerical decisions regarding appropriate procedures within specific program areas.
    • Ability to read departmental documents.
