Provide administrative support for the Director, Hospital Administrator, and Clinical Operations Manager.
This support may include but is not limited to the following:
Greet, screen, and assist visitors to the Administration Office. It could be necessary to deal with personnel or clients who may be extremely upset and highly emotional, in person and/or on the phone exercising discretion, compassion, and good judgment in the handling of the situation and providing information to the appropriate parties for follow-up and resolution.
Responsible for the handling of all incoming calls to the Administration Office; all incoming and outgoing correspondence including US Mail and faxes (incoming and outgoing)
Maintain general office files including confidential files such as personnel files (approximately 150 personnel), non-medical records, and financial files
Updating of departmental electronic personnel rosters, contact lists, and e-mail listserv lists
Daily management of the calendars, schedules, and coordination of meetings and conference calls for the Director, Hospital Administrator, and Clinical Operations Manager. Meetings and conference calls could include multiple participants from multiple departments.
Previous administrative experience within professional office setting
Must be highly organized and work well with others
