Overview

Serves as professional assistant to the attorneys and program staff.

Responsibilities

  • Serves as the initial point of contact for individuals contacting the office
  • Receives and responds to inquiries from attorneys, legislators or citizens by telephone or email
  • Receives and distributes incoming mail including letters and legal documents to staff attorneys and prepares outgoing correspondence.
  • Maintains a variety of legal files, updates topical and case files as new material is collected, ensures that information is kept organized and that all necessary case documentation is contained therein.
  • Schedules dates for hearings or meetings as directed.
  • Maintains office logs as assigned.
  • Prepares legal documents and performs other paralegal duties, under the direction of staff counsel
  • Receives and responds to requests for subpoenas and other pre-hearing documents by directing the preparation and processing of requested documents.
  • Gathers and prepares documents relative to administrative rulemaking.
  • Prepares reports of section/division activity;
  • Performs various other administrative tasks for the office.

Qualifications

  • Associates degree in paralegal studies or related experience preferred.
  • Legal secretary certificate preferred. 
  • Proficient in Microsoft Office programs and legal and administrative databases like Westlaw and Sharepoint.
  • Working knowledge of legal concepts and terminology.
  • Working knowledge of the agency’s programs and current issues.
  • Working knowledge of and ability to utilize computer capabilities for research, and data management.
  • Ability to communicate effectively in writing and orally.
  • Attention to detail.
  • Understanding of legal documents received by the office.
